ORGANIZATION OR DEPARTMENT DESCRIPTION:

POSITION OVERVIEW:

The Project Coordinator reports to a Principal Investigator. The incumbent will assist in planning, organizing and coordinating all administrative activities related to the Evidence-based Practice for Improving Quality (EPIQ) initiatives, International Network for Evaluation of Outcomes (iNeo), Canadian Preterm Birth Network (CPTBN) and other sub-studies related to improve the outcomes for preterm infants and their families. Each Network will bring together experts from perinatal and neonatal research communities globally.

 

JOB RESPONSIBILITIES:

  • Schedule and attend teleconferences and workshops, prepare and distribute meeting agendas and minutes, and follow up on action items.
  • Organize international symposiums and an annual conference with over 200 attendees in collaboration with the supervising investigator and research coordinators.
  • Identify and propose event venues, negotiate catering and hotel contracts, and coordinate logistics with relevant departments.
  • Manage the conference registration process, ensuring clear communication with delegates and invited guests.
  • Arrange ground transportation or shuttle services for conference attendees.
  • Collect and compile PowerPoint presentations and training materials from invited speakers, and oversee the creation and assembly of conference booklets.
  • Process vendor invoices, reimbursements, and troubleshoot post-conference billing issues.
  • Coordinate all administrative activities for multiple international research networks, including developing work plans and timelines.
  • Work closely with research coordinators, the I.T. team, and statisticians to verify data submissions for reports and manuscript development.
  • Assist with funding applications, grant proposals, and Research Ethics Board (REB) submissions.
  • Work closely with the Principal Investigator to manage research cost center activities, including budget planning, expense reporting, reimbursement submissions, and payment requisitions.
  • Plan and coordinate the network’s annual report, ensuring accurate documentation and distribution of meeting minutes and action items.
  • Manage research data request activities, ensuring compliance with data request and privacy policies, and liaise with site abstractors and investigators to troubleshoot issues.
  • Facilitate sub-grant contracts, research agreements, and event contracts in collaboration with participating site investigators and Mount Sinai departments.
  • Perform general office duties such as travel arrangements, photocopying, faxing, courier services, and ordering office supplies.
  • Complete other duties as assigned by the Principal Investigator or their designate.

 

EDUCATION & EXPERIENCE REQUIREMENTS:

  • Bachelor Degrees (Master’s degree would be plus) in Health Science, Public Health or equivalent.
  • Minimum of 2-3 years’ experience and demonstrated success in research setting
  • High degree of computer literacy and experience with Microsoft Office (Word, Excel and PowerPoint)
  • Familiarity in working with confidential information; maintaining professionalism, diplomacy and tact under high pressure situations 
  • Ability to work with an interdisciplinary research team, including clinicians, statisticians, epidemiologists, and scientists.
