Position Overview:
The Human Resources & Administrative Assistant is an integral part of the busy and dynamic Human Resources and Administration team at the Lunenfeld-Tanenbaum Research Institute. In this role, the successful applicant will be expected to exercise sound judgment and independence while managing the day-to-day related administrative human resource and administrative activities. The successful applicant will demonstrate a strong commitment to quality customer service, applying excellent problem solving and communication skills to ensure the success of the department. Being privy to sensitive employee and candidate information, the Human Resources Assistant operates with strict confidentiality and accuracy.
Responsibilities
The responsibilities include but are not limited to:
- Provide comprehensive administrative support to the HR and Administration teams, including preparing employment confirmation letters, assembling new hire documentation, maintaining employee records, photocopying, scanning, etc.
- Support the recruitment process through tracking and reviewing recruitment requests, drafting and revising job postings; screening resumes; phone screening applicants; booking interviews, as required; securing and checking references
- Assist with a various stage of the employee life cycle by facilitating changes such as contract extensions, position transfers, pay changes, terminations, leaves of absence, etc.
- Conduct routine electronic and paper employee file reviews and audits; assist with the creation and maintenance of spreadsheets and other applicable tracking documents
- Coordinate and schedule meetings and events, including room bookings; oversee and manage calendar, draft meeting agendas, and assemble related materials
- Assist with Power Point presentation; preparation of slide decks as required
- Assist with project management and follow-up on action items
- Monitor and prioritize tasks and deadlines
- Compile data and reports for decision making
- Contribute to the maintenance of efficient and effective administrative team functions by supporting current improvement initiatives and identifying opportunities for process enhancements
Job Requirements
- Successful completion of a college diploma in relevant area of study (e.g. Human Resources, Business Administration etc.) from a recognized educational institution
- A minimum of one year of recent and related experience preferably working within a research/healthcare environment
- Advanced technical skills and proficiency in Microsoft Office (Word, Excel, Outlook, Power Point)
- Excellent organizational and time management skills with the ability to deal with competing demands
- Proactive, diplomatic and confident with the ability to develop, foster and maintain relationships
- Demonstrated ability to handle sensitive and confidential information with discretion and professionalism
- Strong communication skills (verbal and written) to professionally represent Sinai Health, Lunenfeld Tanenbaum Research Institute
- Superior work ethic, professionalism, resourcefulness, dependability, reliability and diplomacy
- Ability to make decisions, exercise judgment and take initiative in dealing with confidential information and/or in responding to inquiries
- Flexible with ability to work efficiently in a fast-paced, multitasking and dynamic environment
- Demonstrated satisfactory work performance and attendance history
