This position is responsible for providing a high level of administrative and project management support to the Legal and Business Development team of the Lunenfeld- Tanenbaum Research Institute’s Office of Technology Transfer and Industry Liaison (OTTIL).  The OTTIL shares the role of Research Counsel for the hospital providing legal and business support to the basic and clinician researcher scientists.


  • Prepare and route confidential legal documents for signature and processing, ensuring all contracts are signed and delivered in a timely manner and maintaining accurate records
  • Prepare electronic memos and emails to accompany legal documents for internal and external routing
  • Database administration and management, including compiling data for reports, electronic based maintenance of records for current operations and highly organized development and implementation of a user friendly archival file retrieval system for the Research Institute’s records
  • Managing the contracts process, including filing and updating all documentation, and ensuring that all requests and documents are uploaded to the office electronic project management system and archival database 
  • Preparation of status updates and management of tracking statistics on data entries, files and contracts when requested by senior management
  • Assist in the education of and coordination with internal and external parties for timely contract delivery
  • Manage and prepare staff time sheets using the institutional payroll management system (IPMS) including providing staff with training of the IPMS and direction to resources and information on institutional and hospital policies
  • Manage and monitor meeting room calendars, including booking meetings for internal and external parties when requested for OTTIL business


  • University degree with over 2 years of experience in administration
  • Scientific literacy or research experience strongly preferred
  • Must demonstrate initiative, resourcefulness, problem solving skills, and analytical skills
  • Good verbal communication and written skills
  • Ability to work with discretion with highly sensitive and confidential information
  • Ability to anticipate and identify problems and provide solutions in a timely manner
  • Possess strong computer skills with proficiency in typing and working in PC and Mac systems, project management systems, archival databases, MS OFFICE, Adobe    
  • Highly organized and attentive to detail
  • Strong ability to manage competing priorities and deadlines and large volumes of work
  • Ability to work autonomously and as part of a team
