Reporting to the Director of Finance & IT, LTRI– the Manager, Grants Administration provides administrative support to the scientists and admin group for the delivery of client-oriented services in support of research initiatives at Sinai Health System.

Duties & Responsibilities:

  • Manage and oversee all pre award and post award activities while ensuring compliance, integrity and high ethical standards of all budgets and proposals sent to external sponsors
  • Liaise with sponsoring agencies both pre award and post award in relation to grant applications/awards
  • Provide support to researchers during the grants application process
  • Assist research faculty with budget development for grant applications
  • Administer the institutional approval process for all research grant applications being submitted for funding
  • Act as institutional signatory and submit grant applications for applicants where electronic submission is required
  • Develop, interpret and implement Research Institute and sponsoring agency policies, procedures and guidelines
  • Communicate with external funding agencies regarding the development of proposals and maintain up-to-date knowledge of all sponsor programs, guidelines etc. and communicate changes as necessary
  • Ensures that all pre award and post award operations are consistent across the institution and that policies, procedures and processes are developed, maintained and documented
  • Responsible for set up of internal funding accounts for new grants/funded projects
  • Ensure the institute and researchers are performing work in compliance with granting agency policies and applicable laws
  • Liaise with other academic institutions such as teaching hospitals, universities and colleges both domestic and international
  • Manage the contract request process and develop, negotiate and review research agreements in conjunction with the Office of Technology Transfer which are in accordance with hospital policies, granting agency policies and applicable laws
  • Liaise with the Office of Technology Transfer, Director, Sourcing and Procurement and Hospital legal counsel as required
  • Develops, coordinates and supplies regular reports as required by senior management as well as adhoc reports for internal and external users as required
  • Identify new funding opportunities, programs and agencies/foundations by using electronic and other resources and disseminate information to appropriate faculty members
  • Oversee the content of the Grant Administration page on the LTRI intranet site
  • Liaise with Research Accounting and participate in various meetings
  • Maintain up to date Grants Admin database and audit data to ensure accuracy for reporting and use by Finance, Grants Admin, Director, LTRI and other departments as requested
  • Ensure that the repository of publications by the researchers is in compliance with open access policy mandated by granting agencies and federal/provincial agencies
  • Assist in co-ordination of internal review process as required
  • Prepare the annual grant report to affiliated university
  • Supervise Grants Coordinator and assign duties as appropriate
  • Plans and organizes training programs/workshops for faculty and admin group on  budgeting, proposal development, granting agency guidelines, grant application process, post award processes and all other grant administration activities as necessary
  • Optimizes the use of available resources in carrying out assigned tasks and ensures timely completion according to set standards
  • Other duties as assigned

Education & Experience:

Requirements for the position include: 

  • A minimum of a Bachelor's degree (preferably in science);
  • Five years of administrative experience, preferably in a university research or research institute environment;
  • Detailed knowledge of Tri-Council and US federal grant administration requirements is an asset. 


  • Experience with electronic forms and basic financial management skills including budgets is an asset;
  • Ability to prioritize work, meet deadlines and produce quality results on time with attention to detail;
  • Fully computer literate with demonstrated ability to work with Microsof Office - word processing, spreadsheets, relational databases and web software;
  • Service-orientation;
  • Excellent understanding of academic research and research processes;;
  • Sound understanding of potential ethics and governance issues in research
  • Leadership and interpersonal skills;
  • High ethical standards;
