The Science of Care Institute is located on the beautiful Hennick Bridgepoint Hospital campus of Sinai Health. It advances new discoveries and innovations in how care is co-designed, implemented, and measured. Science of Care Institute is our academic hub for all clinicians (health disciplines, nursing, medicine) or any staff, researcher, learner, or volunteer who wants to be involved in advancing research and innovation associated with care and resilient care environments at Sinai Health and beyond. Our Science of Care Institute aims to ensure the design and delivery of care are evidence-informed and co-designed that is meaningfully and positively experienced by the patients and care partners we serve and provide creative and innovative opportunities to instill joy in work to build back resilience in our entire workforce at Sinai Health in our post-pandemic and human health resources crisis.

 

Our Science of Care Institute is synergistic with the organization’s leadership, discovery, and basic science research associated with Lunenfeld Tanenbaum Research Institute (LTRI). Our Science of Care Research and Innovation Framework integrates caring, symptom and safety science using team, implementation, improvement, and innovation science to accelerate new models of compassionate, fundamental care and work environment strategies into practice. The Science of Care Institute is in a growth trajectory that builds on a strong foundation of an interdisciplinary team of researchers, clinician-scientists, trainees, and staff affiliated with LTRI working collaboratively to produce high-quality research and innovation to drive health system transformation. LTRI is a University of Toronto-affiliated research centre and one of the world’s leading biomedical and health systems research centres. Our Science of Care Institute and affiliated Centres (e.g. Nursing Excellence) and LTRI are committed to excellence in health research and the training of all stages of scientists (e.g. early to senior). Strong partnerships with the clinical programs in our hospitals and our health system partners ensure that scientific knowledge is used to promote human health and health system improvement.

 

Job Summary

The Manager, Research Operations, Science of Care Institute is responsible for managing the operations of the Science of Care Institute and Academic Practice research and innovation programs, projects, and strategies including oversight and performance management of administrative staff and requires working on-site. The successful applicant will support Scientists and program staff to ensure all operations within the Science of Care Institute and affiliated Centres are run efficiently and effectively, maximizing quality and ensuring regulatory compliance, contributing to the future growth of research and innovation at Sinai Health. 

 

Specific responsibilities of the position include:

  • Works closely with Finance, Accounts Payable, Human Resources, IT, Grants Management, Office of Technology Transfer and Industrial Liaison, and other departments to provide infrastructure for the Institute’s research activities.
  • Provides grant financial and administrative support to scientists: monitors and analyzes research accounts; supervises the preparation of expense reports, payment of invoices, preparation of reimbursements and expense transfers, and preparation of credit card reconciliation reports.  Monitors account transactions, identifies variances, and reviews financial reports.
  • Manages office operations, develops administrative procedures, implements policies, procures supplies and services, and monitors expenses.
  • Manages all aspects of recruiting and departmental onboarding for administrative and research staff.
  • Supports the Scientific Director and Scientists, affiliated Centres’ leads, and Scientists, in collaboration with the Research and Innovation Manager, in managing research and innovation personnel (e.g. research coordinators, research assistants and administrative staff).
  • Liaises with Human Resources and Payroll to troubleshoot payroll related issues and facilitate any employment changes.    
  • Requests and monitors the preparation of service agreements and other contracts, interfacing with researchers, vendors, and administration. 
  • Works with researchers and LTRI departments to ensure that all conditions of funding are met and to maintain internal control processes designed to ensure effective expenditures, tracking of research funds and reporting to sponsors.
  • Trains and provides guidance to project managers and research coordinators on administrative policies and procedures impacting research projects.
  • Supports the preparation of proposals, grant applications and publications, including editorial review of manuscripts, liaising with publishers, and payment of publishing fees, as requested.
  • Produces standard and ad hoc reports of research activities, as required.
  • Advances equity, diversity and inclusion across Research through the identification and creation of frameworks and policies to promote the agenda.
  • Carries out miscellaneous other duties as assigned.

 

Job Requirements

  • Successful completion of a university degree in a relevant field.
  • Minimum four (4) years of experience working in a health care research environment.
  • Minimum of ten (10) years of senior administrative experience.
  • Demonstrated understanding of finance, human resources, contracts and overall operations in the research environment.
  • Demonstrated expertise with Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Superior written/oral communication and presentation skills; excellent interpersonal and relationship building skills; ability to effectively convey factual information and detailed explanations.
  • Excellent time management, organizational and self-planning skills, displaying flexibility by adjusting work schedules according to changing priorities, meeting demanding deadlines and producing high quality work.
  • Exceptional customer service skills, including tact, discretion and diplomacy in dealing with staff, volunteers and the public.
  • Experience using Citrix and managing a hybrid work environment is an asset. 
  • Ability to work in a collaborative environment.
  • Self-directed, detail oriented and dependable. Strictly adheres to deadlines.
  • Demonstrated satisfactory work performance and attendance record.
